Northminster United Church (Oshawa, Ontario) is looking for an Office Administrator to work 15 hours per week. Duties and Responsibilities: The Office Administrator supports the Minister via the following job description:
Attends regular team or individual meetings with the Minister to ensure awareness of all church activities and to obtain clarity on the duties to be completed and the required timelines. Communicates on a regular basis with the Minister, the Music Director and the Custodian to ensure all church activities are supported as required (i.e. weddings, funerals, baptisms, committee meetings, concerts, etc.).
Coordinates all information required to accurately complete the Sunday Bulletin or weekly Epistle (newsletter) and Worship Notes in a timely fashion and in coordination with the Minister, Music Director and various committees.
Accurately maintains the church calendar in consultation with the Minister, Music Director, Committee Chairs and external users, both electronically and hard copy (wall calendar).
Completes and issues all required correspondence as needed.
Books rooms for internal events and for those organizations cost-sharing/using church premises (includes explaining current Northminster policies and cost-sharing fees and working with the Property Committee on a regular basis).
In consultation with the Minister, takes bookings for church/community events (may include the issuing of keys as required).
Orders office supplies and maintains the church office.
Coordinates the development of the Annual Report in consultation with the Minister, Music Director and all Committee Chairs (includes communicating deadlines to the Committee Chairs for the receipt of annual reports).
Maintains the Congregational Register and updates the congregational database with current addresses, phone numbers and email addresses.
Enters coming events on the Northminster website and works to make the site more user-friendly.
Ensures hours are submitted to ADP for hourly employees and that the information for payroll is kept up-to-date as instructed by Minister or Chair of council.
Other duties as required (i.e. completing required United Church of Canada forms, arranging United Church Observer subscriptions, and supporting church committees and groups with agendas and/or communicating activities, setting up for special events, and photocopying materials as needed).
Required Skills: Microsoft Office and Google Suite (google meet, docs, sheets and calendar).
