Overview The Church Office Administrator provides administrative support for Church staff, Church Council/Committee Chairpersons and others involved in the administration and implementation of Church programs, maintains the Church Office, and provides reception to visitors and Church members/adherents during office hours. This position is accountable to the Church Council, through the Minister of Word, Sacrament and Pastoral Care and the Ministry and Personnel Committee of the Church Council. This position is 37.5 hours per week. Compensating time, when necessary, to be arranged with the Minister of Word, Sacrament and Pastoral Care and the Ministry and Personnel Committee.
Qualifications • Ability to work both independently and with others, including staff and others involved in the administration of Church programs and activities • Superior interpersonal, time management and organizational skills • Working knowledge of Microsoft Office programs such as Word, PowerPoint and Excel • Minimum of three years related experience
Responsibilities • Provides secretarial services to members of staff, and chairs/members of committees: • Prepares worship bulletins from notes or verbal instructions • Prepares monthly events calendar, worship bulletin inserts and other materials for special events • Preparing bulletin & material for editors for online worship • Maintains current information on the church website • Prepares letters, program materials and other documentation • Participates in preparation and assembly of publications such as the weekly newsletter and the Annual Report, • Provides other secretarial services as needed Performs clerical/administrative duties to ensure the smooth operation of the Church Office:
Administers the allocation of space for rentals in cooperation with Property Committee
Receives/distributes daily mail, processes outgoing mail, operates/maintains postage meter
Posts messages on electronic sign
Prepares and sets-up files as required
Maintains required records
Maintains adequate stock of supplies and forms
Operates photocopier
Collates/distributes information in accordance with established procedures
Provides ministry of presence for those contacting the Church:
Answers telephone, takes/relays both phone and email messages for Church staff as needed
Responds to enquiries or directs requests to appropriate individual/committee/group
